Managing Clients

Contacts, interactions, and pipeline tracking.

Managing Clients

The Clients section is the CRM layer. It tracks who you work for, who you talk to, and where every opportunity stands.

Client status

Every client has a status that reflects where they are in your pipeline:

  • Lead — initial contact, not yet qualified
  • Qualified — budget and authority confirmed
  • Proposal — a proposal has been sent
  • Negotiation — terms are being discussed
  • Client — active or past client
  • Lost — did not convert

You can filter the client list by status. This is your pipeline view.

Creating a client

From Clients in the sidebar, click New client.

Required fields:

  • Name — the organization name
  • Status — defaults to Lead

Optional but recommended:

  • Contact name — the primary person
  • Contact email — for delivery and billing
  • Industry — useful for filtering and scoping
  • Website
  • Source — how you found them: referral, LinkedIn, conference, etc.
  • Expected value — estimated contract size, in your currency

Client detail page

Opening a client shows several tabs:

Overview

Summary card: status, contact information, billing details, tags, and notes. This is your at-a-glance view.

Contacts

Multiple people at the same client. Each contact has a name, role, email, and phone. One is marked as primary.

Use this when you're coordinating with several people — a technical contact, a billing contact, an executive sponsor.

Interactions

A chronological log of every touchpoint:

  • Emails
  • Calls
  • Meetings
  • Site visits
  • General notes

Each interaction has a date and a follow-up flag. Interactions with a follow-up appear in your upcoming items.

Engagements

Every engagement that belongs to this client — active and archived.

Contracts

Every contract associated with this client — signed or pending.

Invoices

Every invoice issued to this client, with status.

Logging an interaction

From the client detail page, go to Interactions. Click Log interaction.

Fill in:

  • Type — email, call, meeting, site visit, note
  • Subject — a one-line summary
  • Body — the details
  • Date — when it happened
  • Follow-up — whether you need to take action, and by when

Interactions with a follow-up date show up in the dashboard as pending items.

Contacts in depth

Add a contact from the Contacts tab. Fields:

  • Name
  • Role — e.g. CISO, IT Manager, Procurement
  • Email
  • Phone
  • Primary — toggle for the main contact
  • Notes — anything you want to remember

You can have as many contacts per client as needed.

Tags and filtering

Clients can be tagged for cross-cutting categories:

  • Industry (finance, healthcare, tech)
  • Engagement type (pentest, forensics, compliance)
  • Priority (high-value, strategic)
  • Source (referral, inbound)

Filter the client list by tag or status to find who you need fast.

Searching

The client list has a search box. It matches against:

  • Client name
  • Contact name
  • Contact email
  • Tags

Use it to jump to a specific client fast.

Archiving

Clients you no longer work with should be moved to a status that reflects that — usually Client (past) or Lost. They stay in your records for reference but disappear from your active pipeline views.

Full deletion is possible but rarely needed. Keeping historical clients makes it easy to show a track record.
